They book, change or cancel from the WhatsApp they already use, at any time. The day before, they get a reminder and confirm with one tap.

They publish their availability each week in a form inside the chat, and get an alert when today’s or tomorrow’s schedule changes. They have a single calendar, even if they work at several centres.

Through Meta’s official guided sign-up, which we do with you. The number belongs to the centre, and the centre pays Meta directly for messages.
Zitavo asks them on WhatsApp on the day and at the time the centre chooses. They mark their slots in a form and, if they forget, they get a reminder.
They message the centre on WhatsApp, choose a service, practitioner and time from the genuinely available slots, and get the confirmation and the reminder.
Every one of these features is already built and tested.
A form right in the chat: service, practitioner or “anyone”, and a day and time from the genuinely available slots. While the patient decides, that time is held for them.
24 hours ahead, with three buttons: Confirm, Cancel appointment or Other options. If they cancel, the slot is freed straight away.
Patients join for a service, with a given practitioner or anyone, in the morning or the afternoon. When a slot opens up, Zitavo offers it to one person at a time, with a deadline, and if they say yes the appointment is booked.
Each service belongs to a specialty. Patients choose their practitioner or let Zitavo find a slot with anyone who offers it.
If a practitioner works at two centres that use Zitavo, their appointments never clash: time booked at one cannot be booked at the other.
If today’s or tomorrow’s schedule changes, they get a single alert with every change and a button to view their calendar. They can switch alerts off whenever they like.
No schedule alerts or slot offers go out at night. By default from 23:00 to 07:00; each centre sets its own window.
If a practitioner closes a day that had appointments, each patient gets a message to choose another time, and reception sees which ones are still pending.
The patient taps “Talk to reception” and the conversation is flagged in the dashboard. Reception replies from there and the answer reaches the patient on WhatsApp.
If WhatsApp rejects a message, it is logged in the dashboard with the reason, so you always know when a message has not reached someone.
Appointments by channel, no-shows, slots recovered through the waiting list, alert opt-outs and reception response times.
Reception no longer has to enter every booking by hand; it oversees instead. The dashboard shows what is happening on WhatsApp and lets reception step in when needed.

Patients pick the type of service from a list. Zitavo does not read or store what they type in the chat.
Free-slot and schedule-change notifications never mention the service, because they show up on the lock screen.

The dashboard records who views and who changes each piece of data, and requires two-factor authentication to sign in.
Acceptance of the privacy policy is recorded, patients can opt out of notifications with one tap, and the owner can delete or anonymise a patient from the dashboard. Your centre’s WhatsApp access credentials and the backups are encrypted.

No. You can keep the number you already have: if it is on WhatsApp Business, Meta lets you connect it to Zitavo without leaving the app, so your team keeps writing by hand from the phone while Zitavo handles the appointments. If you use regular WhatsApp, it is first moved to WhatsApp Business, which keeps your chats. A new number works too. We will set it up with you before you start.
Zitavo does not read typed messages: it replies with the menu and reminds them that, if they are not sure which service to choose, they can book an initial assessment or talk to reception. That text is not stored. That way nobody describes their health problem in the chat.
No. They message the centre’s WhatsApp number from their usual WhatsApp. Zitavo recognises them by their number and shows them their own menu: publish their week, change a day, view their calendar and switch their alerts on or off.
They have a single calendar. If those centres use Zitavo, nobody can book them at one centre for a time they are already busy at another. They publish their availability by messaging each centre’s number, and each centre only sees its own appointments.
Yes. Reception creates, changes and cancels appointments from the dashboard, on the same calendar patients see, and Zitavo sends the patient the confirmation on WhatsApp.
What is needed to manage appointments: the patient’s phone number and WhatsApp profile name, their appointments and when they accepted the privacy policy. Never the reason for the visit. Data is stored on servers in the European Union, kept separate per centre. Your centre is the controller of its patients’ data and Zitavo processes it on your behalf.
The centre’s WhatsApp is connected through Meta’s official guided sign-up. Then you add your practitioners and your services. What can take longest is the business verification Meta requires, which is up to them; we help you through the process.
